Join us to put AI to work for people.   Job Description Summary:  I am looking for an executive assistant who can do more than manage my calendar. I need someone who can help run the operating system around me: creating structure, maintaining visibility, closing loops, and making sure priorities and decisions turn into action.  This role enables the leadership team’s operating system. Leaders retain accountability for priorities, decisions, people, and outcomes; the executive assistant provides the coordination, visibility, preparation, and follow-through that help the team execute consistently. Leadership operating rhythm:  Enable and coordinate the leadership team’s operating cadence, including: Building agendas and identifying the decisions we need to make Gathering updates and pre-reads  Capturing decisions, owners, and next steps  Tracking actions and following up between meetings  Maintaining a predictable annual, quarterly, monthly, and weekly leadership calendar  Helping distinguish what requires live discussion from what can be handled asynchronously  OKR and business review coordination: The marketing org’s higher-level pipeline KRs do not adequately represent much of my organization’s work, especially given current analytics limitations. I have therefore been heavily involved in:  Facilitating OKR creation and refinement  Connecting team goals to organizational priorities  Cascading goals across the organization  Establishing update cadences and reminders  Collecting progress, risks, confidence levels, and path-to-green plans  Coordinating timely updates and resolving reporting gaps  Coordinating quarterly reviews and retrospectives  Maintaining reporting tools and source material  Work intake, prioritization, and organizational visibility:  We built systems using Loop, Planner, Teams, and shared workspaces so I can understand what everyone is working on, who owns each priority, where we have capacity or overload, what is blocked, and which decisions require leadership attention. I need help maintaining this system by:  Coordinating intake for new requests  Making sure work has clear owners, timing, and priority  Keeping Planner and Loop information current  Keeping information current and clarifying open items with owners  Preparing workload and priority views  Identifying conflicting commitments and emerging capacity issues  Reinforcing team norms around how work is documented and updated  Consolidating updates into a clear organizational view  Team communications, culture, and engagement:  Keep the team connected and informed. This includes:  Team recognition and celebration  Town hall coordination  team engagement activities  Recurring team rituals  Volunteer-host coordination  Leadership and organizational updates  Ensuring remote employees have opportunities to connect  Maintaining a consistent communication cadence during change  This is not simply event planning. It is the operational work that helps the team feel informed, recognized, and connected. I need help designing the calendar, coordinating contributors, gathering content, managing logistics, and completing follow-up so I can focus on the message, the team, and the leadership moments that require my direct involvement.  Additional areas of support:   Calendar and attention management Protect time for strategic work, preparation, and follow-through  Resolve conflicts proactively and question meetings that do not require my participation  Ensure the right people, context, objectives, and pre-reads are in place  Create buffers around high-stakes meetings  Identify unsustainable weeks and review recurring meetings for continued relevance  Executive preparation and follow-through:  Assemble meeting objectives, relevant background, prior decisions, and supporting materials  Draft follow-up communications and track commitments made by me or to me  Stakeholder and relationship management: Maintain important relationships and recurring touchpoints  Prompt recognition, thank-yous, reconnects, and proactive outreach at the right moments  Planning calendar and milestone management: Maintain one consolidated view of annual and quarterly planning, OKRs, QBRs, town halls, team health reviews, talent cycles, launches, events, budget, headcount, hiring, onboarding, and leadership deliverables  Work backward from milestones and identify dependencies before work becomes urgent  Hiring, onboarding, and team transitions: Maintain hiring and onboarding plans, materials, stakeholder introductions, access, training, and first-month milestones  Support organizational transitions and changes in operating rhythm  Budget, purchasing, travel, and administration: Coordinate travel, itineraries, expenses, purchase orders, procurement, vendors, contracts, approvals, offsites, and administrative deadlines  Prevent routine operational work from competing with leadership priorities  Process improvement and automation: Identify repetitive manual work and simplify recurring workflows  Standardize templates, reduce duplicate tracking, and improve information retrieval  Recommend work that can be delegated, automated, or stopped  Document processes so they do not remain dependent on one person  Qualifications To be successful in this role you have: Experience in leveraging or critically thinking about how to integrate AI into work processes, decision-making, or problem-solving. This may include using AI-powered tools, automating workflows, analyzing AI-driven insights, or exploring AI's potential impact on the function or industry. 3 to 5 years of experience supporting VP level Highly organized with exceptional communication skills and ability to manage a variety of high-priority projects from multiple management and professional levels Desire to grow and take on your own projects Professional demeanor and soft skills Positive and personable can-do attitude Proficient in Zoom, Microsoft Office suites (Word, Excel, PowerPoint, Outlook), Box, Concur and Google Docs Experience handling confidential materials Ability to travel 10-15% (Vegas, Santa Clara, San Diego)   For positions in this location, we offer a base pay of $104,400 - $172,300 , plus equity (when applicable), variable/incentive compensation and benefits. Sales positions generally offer a competitive On Target Earnings (OTE) incentive compensation structure. Please note that the base pay shown is a guideline, and individual total compensation will vary based on factors such as qualifications, skill level, competencies, and work location. We also offer health plans, including flexible spending accounts, a 401(k) Plan with company match, ESPP, matching donations, a flexible time away plan and family leave programs. Compensation is based on the geographic location in which the role is located and is subject to change based on work location.
